Retreat Terms & Conditions Agreement

By making a payment toward a Selva Soul Retreat, you acknowledge that you have read, understood, and agreed to the following Terms & Conditions and Code of Conduct.
1. Assumption of Risk & Medical Responsibility
Participation in yoga, wellness activities, excursions, adventure experiences, and international travel involves inherent risks. By attending, you voluntarily assume all risks associated with participation. Selva Soul Retreats, its owners, co-founders, facilitators, partners, and affiliates are not responsible for any injuries, illnesses, medical expenses, personal loss, or damages incurred before, during, or after the retreat. Guests are responsible for:
• Consulting a physician if needed prior to participation
• Disclosing relevant medical conditions
• Bringing required medications
• Covering all personal medical expenses

2. Travel & Airfare
Most retreats are all-inclusive of accommodations, scheduled meals, and planned group experiences unless otherwise stated. Airfare and personal travel expenses are not included. Selva Soul Retreats is not responsible for:
• Flight delays or cancellations
• Missed connections
• Border entry or visa issues
• Weather disruptions or government travel restrictions
Guests are responsible for ensuring valid passports, visas, and required travel documentation.

3. Payment, Cancellation & Travel Insurance
Selva Soul Retreats requires significant upfront financial commitment to secure accommodations, staff, vendors, and experiences for each retreat. Deposit amounts and balance due dates are provided at the time of booking for each specific retreat.
Deposits are non refundable. They are credited toward your total retreat cost and secure your spot.
If you need to cancel after your deposit, the following refund schedule applies to any additional payments made:
• More than 90 days before the retreat start date: 50% of payments made beyond the deposit will be refunded.
• 90 days or less before the retreat start date: no refund will be issued on any payments made.
These timelines reflect the financial commitments required to secure retreat venues and services in advance.
We strongly recommend all guests purchase travel insurance to protect against trip cancellation, interruption, or medical emergencies. Travel insurance is not included in your retreat cost and is the responsibility of each guest to arrange.

4. Retreat Cancellation by Selva Soul Retreats
Selva Soul Retreats reserves the right to cancel a retreat due to insufficient enrollment or other operational reasons. If a retreat is canceled for these reasons, guests will receive a full refund of all payments made, or the option to transfer their payment toward a future retreat.

5. Force Majeure
Selva Soul Retreats is not responsible for changes, delays, or cancellations caused by events beyond our control, including natural disasters, pandemics, political instability, government restrictions, or vendor disruptions.
If Selva Soul Retreats must cancel or reschedule a retreat due to a force majeure event, guests will be offered a credit toward a future retreat. Refunds are not guaranteed in these circumstances, as many costs to vendors and venues are non recoverable once paid.

6. Alcohol & Substance Use
Most retreat venues are intentionally alcohol-free to support a wellness-focused environment. Guests may consume alcohol off-site at their own discretion. Any use of alcohol or drugs that results in unsafe, disruptive, or inappropriate behavior constitutes a violation of these Terms & Conditions.

7. Code of Conduct & Community Standards
Selva Soul Retreats are designed to provide a safe, respectful, and restorative environment. By attending, guests agree to:
• Act respectfully toward participants, facilitators, staff, and local communities
• Take personal responsibility for their physical and emotional wellbeing
• Respect shared accommodations and retreat property
• Follow local laws and venue guidelines
• Respect group schedules and shared spaces
Guests are financially responsible for any damage they cause to accommodations, venues, or equipment. Dietary needs and allergies must be communicated in advance. While accommodations are made when possible, they cannot be guaranteed.

8. Respect for Local Laws, Communities & Wildlife
Selva Soul Retreats is committed to supporting and giving back to the local communities where retreats are hosted, and we take respect for local laws, communities, customs, and wildlife very seriously. Guests agree to act responsibly and respectfully toward the environment, local culture, and surrounding communities at all times.
In many destinations, including Costa Rica, it is illegal to touch, feed, or interfere with wildlife. By participating in a Selva Soul Retreat, guests agree to follow all local regulations and environmental guidelines. Any violation of local laws, wildlife protection rules, or disrespect toward local communities or customs may result in immediate removal from the retreat without refund.

9. Respectful Photography & Video Use
Selva Soul Retreats are intentionally designed to support presence, nervous system regulation, and emotional safety. While guests are welcome to capture memories throughout the retreat, filming or photographing during yoga classes, workshops, and ceremonies can be distracting and may unintentionally include participants who prefer not to be recorded. To preserve the integrity of the experience, guests agree to:
• Refrain from filming or photographing during active classes, workshops, or ceremonies unless permission is given
• Obtain consent before capturing images or video that include other participants or staff
• Be mindful that excessive filming may disrupt the collective experience
These guidelines apply to retreat sessions and on-site experiences and do not restrict personal use during off-site tours or excursions. Selva Soul Retreats provides a professional photographer to document select retreat moments so participants can remain fully present and immersed in the experience. During yoga classes, workshops, and ceremonies, photography and video are typically handled by retreat facilitators or the designated photographer.
By attending a Selva Soul Retreat, guests grant Selva Soul Retreats permission to use photos and video taken during the retreat, including images captured by our photographer, for marketing, social media, and promotional purposes. Guests who prefer not to be photographed, or who prefer their image not be used in marketing materials, must notify Selva Soul Retreats in writing prior to the retreat.

10. Booking Transfers & Substitutions
If you are unable to attend a retreat you have booked, you may transfer your spot to another person, subject to approval by Selva Soul Retreats. Requests must be submitted in writing at least 30 days before the retreat start date. Deposits and payments remain non refundable but may be applied to the new guest's balance.

11. Shared Accommodations
Some room types involve shared accommodations. Roommate assignments are made by Selva Soul Retreats unless guests request to be paired with a specific person. If a roommate cancels, Selva Soul Retreats will make reasonable efforts to pair remaining guests, or may apply a single supplement fee to maintain the original room assignment.

12. Minimum Age
Guests must be 18 years or older to attend a Selva Soul Retreat unless otherwise stated for a specific retreat. Any exceptions require written approval from Selva Soul Retreats in advance.

13. Removal From Retreat & Right to Refuse Service
Selva Soul Retreats reserves the right to remove any participant, facilitator, vendor, or staff member without refund if behavior violates these Terms or creates an unsafe or harmful environment. If removed:
• Participation in retreat activities ends immediately
• The individual is responsible for arranging and paying for their own accommodations, transportation, and travel changes
• Selva Soul Retreats is not responsible for any expenses incurred due to removal
• Selva Soul Retreats reserves the right to refuse future participation at its discretion
If removal occurs during late-night or early-morning hours and safe travel is not immediately available, the individual may remain temporarily on-site in a non-participatory capacity until safe transportation or accommodations can be arranged. All related costs remain the responsibility of the removed participant.

14. Governing Law & Dispute Resolution
Any disputes arising from this agreement will first be addressed through good faith negotiation between the parties. If a resolution cannot be reached, disputes will be resolved through mediation or arbitration prior to litigation.
15. General Provisions
If any provision of these Terms & Conditions is found to be unenforceable, the remaining provisions will remain in full force and effect. These Terms & Conditions, together with the Liability Waiver and Medical Disclaimer, represent the entire agreement between Selva Soul Retreats and the guest regarding retreat participation.
16. Acknowledgment
By submitting payment, you confirm that you have read, understood, and agreed to these Terms & Conditions and Code of Conduct and accept them in full.
